Donation Incentive Program Rules
This document is meant to explain how both UAEA members and non-members can earn rewards by donating hours to UAEA. This program is meant to incentivize people to support UAEA’s UB bank - if we are able to build up a large enough bank we can ask for fewer hours in mandatory donations in future years.
Giftcard Raffle:
Mandatory Time Donations and Entries
Every member of UAEA is required, per UAEA’s bylaws, to donate up to 8 hours of Floating Holiday Leave (FHL) to UAEA in January of each year. Starting in 2026, every hour donated by members will be turned into an entry into a raffle for $100 giftcards (ie, 8 hours taken = 8 entries for that member).
Members are automatically entered into the raffle with their mandatory entries. Members can obtain additional entries by donating additional hours above their mandatory requirement.
Raffle Prizes
The raffle pool will start with 10x$100 giftcards. An additional $100 giftcard will be added for every additional 50 hours donated on top of the mandatory donations.
50 additional hours = 1 additional giftcard
200 additional hours = 4 additional giftcards
500 additional hours = 10 additional giftcards
There is currently no limit on the number of giftcards that can be in this drawing and no limit on the number of times someone could win a giftcard - the more time donated, the more chances someone has at winning (ie, 8 hours donated would be 8 entries, 24 hours donated would be 24 entries, or a 3x greater chance of winning).
The giftcard type may be selected by each winner (as long as it is for a company which UAEA can purchase cards from). Giftcards may be virtually delivered to winners if UAEA cannot purchase physical versions of the cards in Tempe.
Both UAEA members and non members may participate in this raffle. Non members may only participate if they donate time to UAEA. Entries will not be counted if someone tries to donate time but they have already used all the time in their FHL bank for the year.
The raffle will take place in early July of each year. This will give time for UAEA to collect donations from all parties in advance and confirm the donations are valid.
Time donations from the prior 12 months will be counted towards raffle entries - donations made in July 2025 by members will also be counted in the first drawing.

Proposed methodology for the drawing:
UAEA’s Board will handle the first drawing at the July 2026 monthly board meeting. UAEA’s attorney will be present at this meeting and the portion of the meeting dedicated to the drawing will be recorded and shared with members.
During the meeting UAEA will visit a pre-determined online website that provides random number generation. A UAEA Representative will briefly explain how the system works then UAEA will input the total number of entries into the system and let it generate as many results as there are giftcards.
UAEA will compare each number generated to the list of names and immediately declare each winner.
In the unlikely event that the same number is generated twice, UAEA will strike that result and redo the spin.
Winners will be notified after the raffle. If a winner donated hours in the last year but has since left the City, UAEA’s board will do their best to contact them. If they are unable to reach the winner within 2 weeks, they will do another draw.
UAEA will produce a list of entries prior to the raffle. The entry list will have the name of everyone who donated hours listed as many times as hours donated. Each row will have a number attached to the entries and every entry will have a unique number.
Members of the UAEA Board are eligible to participate in this raffle based on the number of their donated hours. The President and Vice President of UAEA will be ineligible to participate.
